Aviano Photo Club Membership Rules


 

Membership Renewal:

Membership renewals must be completed every January 1st.


Member Eligibility

Anyone who is a military ID cardholder is eligible to sign up for club membership.

Age Restriction - You must be at least 10 years old to sign up for club membership with parents permission.  Minors under the age of 16 must be accompanied with a parent, legal guardian or designated adult  age 18 or over.


Photograph Submissions Rules

No nudity

No violence

No material that promotes racism, bigotry or physical harm against any group or individual

No material that promotes illegal activities

No material that exploits minors under the age of 18 in a sexual or violent manner.

No images of identifiable military buildings or training missions

No images of the flight line


Copyrighted Work

No member may submit or display any copyrighted material.  Any member who submits copyrighted material is subject to immediate membership termination.

Members will not copy the work of other photographers without permission and will not pass off the work of others as their own in any way


Representing the organization

Only board members of the club reserve the right to represent the club concerning club business, sponsorship, legal issues, advertising, marketing, contracting, documentation, trip scheduling, club funding, and all financial matters.


Posting information about the club on the Internet

Member will not post any content that could possibly damage the reputation of the club

We ask that any member who has seen negative content posted about the club to please notify the club director so the issue can be resolved properly.


Suggestions

The club welcomes suggestions and recommendations.  Please email your suggestions to president@avianophotoclub.com.


Club Funding

The club operates as a no cost membership organization.  The club solely relies on volunteer work.  No monetary donations can be accepted at this time.

Child Care

According  to the Community Center liability and policy, no minors under the age of 16 can be left unattended in any areas of the Community Center.  Children must remain with their parents at all times.  Unfortunately under the Italian laws and SOFA agreement, we cannot allow our military members or dependents to offer child care services for profit.  Children are welcome to attend meetings but parents, please remove loud or distracting children from the meeting area.


Presentations

From time to time the club will ask its members to hold a presentation of his/her recommendations or training for matters relating to photography and printing.  The club does not endorse any presentation or event.  All members are free to participate and attend meetings and understands there is no guarantee for accuracy in content provided by the presenter.  Presentations are offered as tips and recommendations to give club members the opportunity to connect with others that share the same interests.

Volunteering Photography Services

Can anyone sign up to be a volunteer photographer?

Any club member can be a volunteer photographer


Are there rules for volunteering to take photographs?

Yes, there are rules.

  • The volunteer must NOT accept profit for the service. There must be NO monetary exchange whatsoever.

  • The event coordinator will complete the request form to indicate what is needed and the volunteers must try his/her best to fulfill each request.

  • Every volunteer photographer represents the Aviano Photo Club while at the base event. Please show common courtesy to the event staff and guests.

  • Volunteers must not approach anyone to "push" sales for his/her own service. You may not advertise or promote professional services to the event coordinator, guests, staff, volunteers, or anyone attending the event. However, when asked, you may discuss your personal photography services. We don't want to "push" sales to any of our event coordinators and overwhelm them with annoying marketing tactics every time we send someone out.  This could prevent them from calling us in the future. Be sure to have a few business cards handy so you can hand them out when someone approaches you.

  • You may NOT represent the Aviano Photo Club when providing personal or professional photography services for sessions outside the Aviano Photo Club volunteering opportunities under any circumstance. For example: if you book a photo session for a family, you are booking sessions as yourself, not as the organization of Aviano Photo Club.


What happens if someone asks me to provide professional services while volunteering for the club?

Please keep in mind when abiding by the rules of the SOFA agreement while here in Italy, we are not allowed to run a business or provide services for profit. You may, however, accept donations for services provided. Any photography service that you provide is under an agreement between you and the client, to include, but not limited to, event coordinators, base personnel, and other authorized individuals.


How does the process work to provide photography service as a volunteer?

Aviano Photo Club keeps a database of volunteers with their restrictions. For example, you may have restrictions of no outdoor photos, no indoor photos, no individual portraits, etc. Base personnel will contact the Aviano Photo Club to request a specific number of volunteers. Our volunteer coordinator will access the list and send out notification to all photographers who meet the criteria. Base personnel acknowledges that we may send both professionals and beginners to their events. Once the volunteer accepts, we notify the event coordinators and make arrangements.  Once the photo shoot is done, the photographer will copy the photos to a CDR, CDRW or DVD and give it to the event coordinator.  We do not offer photo editing, but the photographer may make adjustments at his/her own discretion.


Who owns the photographs?

The photographer owns the photographs just as if he/she was providing the service for a profit, unless otherwise specified.  When volunteering for the Aviano Photo Club, you, as the photographer, agree that the event coordinator and administrators are granted a non-exclusive, unlimited license, for use of the digital images for non-commercial purposes such as printing, email, exchange with friends, displaying on their own organization's website or social networking profiles. The photographer may not sell, distribute for profit, or publish photos online allowing public access for any photographs taken for any military or military affiliated organization without written permission.  The agreement between the photographer and the event coordinator is so that you will provide him/her a copy of the photographs.
